This section is for issues regarding individual student placements. Please review the FAQ below before attempting to contact the support team. You will find many common issues will be covered in the details of your placement.
I Missed my workshop. Can I make this up?
Any workshop you have missed , you will need to deduct the hours from your timesheet and update this on your student diary. These are discussions and are not pre recorded therefore the hours for these sessions cannot be made up
I was 10 minutes late to my workshop and I wasn’t allowed entry – what shall I do?
If you are over 5 minutes late, you will not be allowed into the workshop, as this is very distracting for the assessor and other students. Unfortunately, you will lose your hours for this session. For future workshops, please make sure you are prepared and ready to start on time.
I lost connection during my workshop and wasn’t allowed in, what I should do?
If you lose your connection, you must remain in the waiting room and email the team using the supervision email to explain what has happened. They will inform your facilitator and allow you back into the session.
I am going to be off sick – what should I do?
Please make sure that all absences are reported using the link below prior to being off.
I have missed my workshop – can I join a later one?
No – all groups are assigned their workshop times at the start of the placement. It’s important that you attend your allocated session, as changing times can cause issues with registers and verifying attendance.
Can I have my camera off during a workshop?
Unfortunately, no. Having your camera on is mandatory. You must ensure that you have a working camera for all sessions. You can seek help from the university or use your phone to attend these sessions.
My name wasn’t correct on my zoom and I have been marked absent – What happens now?
It has been explained to you from the start of the placement that your name should be correct in all workshops to help with any issues with attendance – this is your responsibility to ensure this is correct – please remove the workshop hours from your EPad and Student Diary
Are my Timesheets and my Student Diary the same thing
No, your student diary is your record of hours that you submit to Health Academy on your Portfolio – Your Timesheet is your record of hours for your EPAD – Student Diaries need to be up to date and accurate and uploaded on to your portfolio for timesheets to be signed.
I am unable to open a document on the portal. What should I do?
Please click on the 3 dots in the corner of the document that you are trying to open. You will be given an option to edit or preview. Click on the edit option and that will open up a new window for you to see your document
Do I need to mark my portal as complete using the mark as complete button
No, as this is more of a guide for you and isn’t monitored by HA staff – If you have clicked this by mistake it can be unclicked and you can continue to go back to your work
What do I need to upload to my portfolio?
All work that needs to be in your portfolio is indicated on the task assignment on the portal – you will see “please upload this to your portfolio” – any work that does not have this is not required. For example – Bodyswaps certificates are not required to be uploaded to the Portfolio – as this is not stated on the work assignments.
My Timesheets haven’t been approved yet – why not?
Timesheets are signed by the supervisor team the week following the week of submission – if you have completed week two – your timesheets will be signed in week three – please note that timesheets will only be signed if there is an up to date or accurate Student Diary in your portfolio.
I have uploaded a duplicate piece of work to my portfolio
This is absolutely fine.Any duplicated work will be identified by the Health Academy team when we review the portfolios.
If you have uploaded more than one student diary, please delete the content from the diary you would like removed and write “please delete” within it. We will take care of this during the review process.
There is no need to email us about this, as long as the correct documents are uploaded to your portfolio, that is all that matters.
My Portal is telling me I do not have permission to access the Health Academy Placement
Please ensure you are logged into the Portal, as it may log you out. Check the top bar-if you see “Login”, please log in.
I cannot see the document on the portal that I am supposed to be working on. It shows a purple figure?
Please refresh your browser, if this does not work please clear your Cache and cookies (instructions for this you can be found on the portfolio page).
I do not understand how to use Medicus?
Please firstly refer to the instruction video for Medicus that is on the portal. If still you do not understand please request please request a 1:1 support session via the instructions on the portal .
I have got a Drs Appointment during one of my workshops . What shall I do?
While you are on placement, you should not arrange appointments during your placement hours unless there are exceptional or extenuating circumstances. Routine appointments such as dental visits, childcare arrangements, or GP appointments are not considered extenuating circumstances and should be scheduled outside of placement time.
Medicus will not let me log in with the email provided.
Check you do not have a space at the end of the email, remove this and you should be good to go.
I have learning support plan – what should I do
Please email this to the Supervision inbox so the Supervision Team can arrange a 1:1 with you and provide support while you are on your Health Academy placement.
I can’t or didn’t attend the orientation session, what should I do?
It is very important that you attend the orientation session, as it provides a comprehensive overview of the placement, along with an opportunity to ask questions and gain clarity on how to use the portal and other key processes. Missing this session may affect your understanding of what is required for your placement.
If you were unable to attend due to extenuating circumstances, you will need to contact the supervision team by email and request a one-to-one (1:1) session.
I missed my initial interview. What should I do ?
It is important that you make time to attend your initial interview to enable evidence of improvements/learning objectives, so that your Practice Assessor can provide objective feedback and support.

I have been waiting in the waiting room since before my session and have not been let in. What should I do?
Please stay in the waiting room and email the supervision email – make sure you inform them which facilitator and which workshop you are trying to enter and the supervisors will message the facilitator to allow entry – please make sure you do this within 15 minutes of the workshop starting
Who will be giving us the reflective hours and when will they be added to our Epads?
The reflective hours are added by the university – for more information on this please contact your Personal tutor or academic assessor.
The Pabau email address is not working or letting me log in, can you help please? If you have copied and pasted the address across sometimes it automatically adds a
There’s often a space when you copy and paste the email address, if you delete the space then it should work.
