Medicus Support

Medicus is the electronic medical record (EMR) system used by Health Academy to record patient data and clinical consultations. Please click below to access further details and view step-by-step video guides to support you in using the system.
To begin using Medicus, you must first activate your account:
- Welcome Email: You will receive an invitation email containing a unique setup link.
- Registration: Click the link to set your password.
- Security: You must set up an Authenticator App (e.g., Google or Microsoft Authenticator) for two-factor authentication.
Alternative: If you cannot scan the QR code, you can manually enter the 6-digit code provided on the setup screen.
Do not click the link to Medicus in your welcome email to login as this link expires. Instead, click this link: https://staging.england.medicus.health/login
Before inputting notes, you may need to add a patient to the system if they have not been registered before:
- Navigate to Modules > Patient Registration.
- Click New Registration in the top-right corner.
- Select Permanent as the registration type for your placement.
- Data Privacy Warning: DO NOT enter real NHS numbers, addresses, phone numbers, or emails. This protects patient data from accidental public notifications.
- Required Fields: Only enter the patient’s Name, Date of Birth, and Gender.
Click Register Patient to save.
Clinical notes are recorded through the “Consultation” module:
- Locate Patient: Use the Patient Finder to search for your patient by name or select them from your “Recent Patients” list.
- Start Consultation: Click the Actions button in the top-right and select Consultation.
- Details: Select the consultation type (e.g., Home Visit) and ensure your name is selected as the Responsible Practitioner.
- Using Templates: To use specific clinical forms:
- Click into the History field.
- Type /template to open the alphabetical list of available forms (e.g., NEWS2 Chart, NHS Health Check).
- Fill in the template and then click save
- Ensure you are happy with the answers given on the template before you complete the consultation as the form template will be collated as examination notes when you save.
Finalising: Click Complete Consultation to save the note to the patient’s Journal.
- Patient Journal: View a chronological history of all recorded observations and consultations.
- Medicus Help Centre: Accessible via the Support button, this portal contains FAQs and user guides. Please review these before contacting Health Academy staff.
- Mistakes: If a note is incorrect, select Mark elements as incorrect. This will strike through the text but maintain an audit trail, as notes cannot be deleted in clinical practice.
- Panic button: disabled, please contact the emergency services or if not an emergency and you need support with recording your notes please contact the placement team.
